Title: Status of the Business Status Post by cathyh on 01/17/06 at 15:44:11 OUr Business status is really out of whack! When I open it it goes to 12/01/06 to 12/31/06. When I go to previous, it goes to 9/1/06 to 9/30/06, and then finally to 1/01/06 to 1/31/06. None of the numbers appear to be correct except for accounts receivable balance. Cash is way out. open orders don't match anything- on and on. 12/01/05 to 12/31/05 is just as bad. This is after the year end routine. The first time I opened this I had good results. Haven't looked at it in a while, and now the results are not useful. Is this program still in process? |
Title: Re: Status of the Business Status Post by lmk223a on 01/18/06 at 05:50:35 1 second the question as to why the Business Status always opens to a future time period rather than the current? As far as accuracy of the figures, I agree that most of the numbers presented are not accurate and I learned that there are timinig issues that cause some of the out of balance conditions. For example, an entry is made with an effective date of let's say Dec 2005, but because it was actually input into EVO in Jan 2006, the transaction appears in Jan 2006 in the Business Status. I found this to be why our cash accounts are not accurate. |
Title: Re: Status of the Business Status Post by Lynn Pantic on 01/18/06 at 11:51:37 It should be picking up the post date regardless of when it is entered. It will always open to the screen of the transaction with the latest date so if an invoice was posted (due toi a typo on the date) in 12/06 instead of 05, even if it was later voided so the net in 12/06 is 0, the program will still open on that screen with the latest transactions. We may offer a separate version of the program that could be controlled by passwords to only be accessed by the admin person that would allow editing to do things like get rid of a screen dated a year in the future. |
Title: Re: Status of the Business Status Post by cathyh on 01/18/06 at 13:00:41 As a matter of fact we do have wome transactions that were posted to 12/06 that are 0 balance- error and correction. Thanks for explaining it! As for the balances, I can't figure out why our cash would be so far off, but I haven't had a chance to really investigate. So I don' t know if there are date problems... |
Title: Re: Status of the Business Status Post by lmk223a on 01/19/06 at 06:48:04 Lynn, I surmise that there is a difference between what GL-R should be doing and what it does. EVERY MONTH the bank monthend journal entries are shown in the next month in the BUSINESS STATUS, resulting in a large false cash balance. For January 2006 the GL-R is showing a cash balance of -$174,000. The actual January cash balance is -$66,454 a difference of -$107,546 Could it be a coincidence that December's journal entries entered in Jan., but posted to December (GL-B) for bank's payroll sweep (cash disbursement) was -$100,480 and the bank month service charge of -$2496 ??? |
Title: Re: Status of the Business Status Post by Lynn Pantic on 01/24/06 at 21:34:48 You are entering GL-B entries as Cash Receipt or Cash Disburemenet type (as applicable)? It should be picking up the post date rather than entry date - I will doublecheck. We are planning a session on the Business Status program for Phoenix to go over what it does, some new features, and what it does not do right so bring your notes with you! Better yet, bring a copy of your DBA on your laptop!! |
Title: Re: Status of the Business Status Post by lmk223a on 03/02/06 at 10:34:04 Today, I checked both Feb. and March cash balances in GL-R before posting the Feb. payroll sweep (cash transfer between main bank account and payroll bank account to cover monthly payroll transactions). Sure enough, March cash balances changed by the exact amount of the payroll sweep journal entry. which carried a Feb 28 posting date for the General Ledger. A N D I have not even posted this entry to the General Ledger yet via GL-O This proves my theory that GL-R for Cash Accounts is looking at the date of entry for journal entries. Has anyone else noticed this???? |
Title: Re: Status of the Business Status Post by Lynn Pantic on 03/02/06 at 16:00:59 Cash balances are current carried forward balances so a February transaction would pass a balance forward to March as it should. |
Title: Re: Status of the Business Status Post by lmk223a on 03/03/06 at 06:18:48 The only way to get accurate CASH balances is to inquire in GL-A and enter the GL accounts. ??? |
Title: Re: Status of the Business Status Post by Lynn Pantic on 03/03/06 at 18:32:50 Assuming all GL-O is posted and GL-J reconciled recently with the bank, then GL-A, GL-R (by account), and GL-I, uncleared only all types should give the same result. |
Title: Re: Status of the Business Status Post by Lenette on 03/15/06 at 09:46:44 Ok... I realize I've been out of town (on business... no vacations for this girl), and I have a lot of catching up to do (regarding all the forum postings). When I open GL-R it shows a "cash balance" but if I hit "refresh" ALL MY MONEY DISAPPEARS!!! |
Title: Re: Status of the Business Status Post by Lynn Pantic on 03/15/06 at 11:45:22 Yup, I see that too. Allen....????? Actually, it is still there. Click Cash Info to see the detail by account and when you come back to the main screen, it is there again. But it should not zero out the front screen!! |
Title: Re: Status of the Business Status Post by cathyh on 03/27/06 at 11:17:14 We have only one active bank account and after the symposium I went into the ISBSF file and edited the monthly balances so that they were correct through January 06. Then I refreshed and February looked good too. Now though, January is correct, but February is WAY off, by the following: January balance 13827.61 Feb net trans- 15257.68 Feb balance 29085.29 BS balance 63182.74 BS in more ways than one. I really want to use this program and the new charts, but I just can't figure out how to get the data right! |
Title: Re: Status of the Business Status Post by Lenette on 03/28/06 at 08:02:52 gotta tell ya the new features are great.... HOWEVER, my numbers are so far off from reality it's funny! |
