Title: Detailed Trial balance out of balance
Post by cathyh on 06/29/06 at 09:03:09

We have just discovered a puzzling situation.  WO Labor transactions posted to the GL were out of balance but we  had no problem posting them in April.
Apparently the trial balance was not printed in April, and so we only discovered that the trial balance was not balanced at the end of May.
The labor transactions posted to the GL morphed into something only slightly resembling the transactions posted in the WOLabor.

Now, The trial balance summary for April shows amounts for the net transactions for our absorbed labor accounts that are different from the totals on the April Standard P&L for those accounts.  Also, the trial balance for ending balances shows  a different amount for our WIP account from the Standard Balance sheet.
The sum of the differences in Absorbed Labor accounts and the WIP account matches the amount that the trial balance is out of balance.
Does anyone have any idea how exactly would I go about correcting this??
Trial and error in a test company?

One other thing my accounting person tells me that I haven't confirmed is that the summary trial balance is not in balance, but the detailed trial balance is.

I checked out the detailed trial balnce summary with the detailed version and they match.  When I look at GL-A the account transaction totals match the P&L and Balance Sheet, but not the trial balance.  So I am assuming that if I change transactions in the BKGLTRAN (where the trial balance comes from?) file it won't affect these balances.  Where do the totals in GL-A come from?

Are you using a date range for the trial balance? GL-A balance changes upon posting GL-O. Sounds like a date range or posting issue if all else is in balance?

GL-A balances look at the Chart of accounts Summary file (BKGLCOA) which is what the Financial Statements use.  GL-C, D and E all look at the detail transaction file BKGLTRAN.

If they disagree, UT-K-D will sunchronize them but in your case it sounds like the transactions are wrong and the subtotals are in balance so in that case you need to use EDITGL at UT-A and get rid of the extra transactions.

I actually had some WO labor transactions posting to absorbed labor and WIP accounts get stomped on somewhere between updating the GL-A and being recorded in the BKGLTRAN.  So my detailed trial balance is out of balance but Balance sheet is not.  The WIP account balance doesn't match the trial balance number, and neither do the absorbed labor accounts.

Going on the assumption that changing the BKGLTRAN file will not affect the GL-A balances......

In my test company:
I found the offending transactions ( isolated the day it happened, the batch it happened in and then it was pretty easy to spot ), got the correct amounts from the work order labor report, and changed the transactions in maintain database.
Yea!! it worked.  Now everything matches.  Just have to do it in the real company.
The big question is what forces were at work while this transaction was being posted??

--------
Lynn we must have been posting at the same time.
Thanks for explaining where the GL-A files get the numbers.
I don't really want to edit out the transactions since they were valid, just had the wrong numbers in them. I have never used edit GL in UT-A but I will look at it.

Edit GL looks like a much better and less scary way to edit GL transactions.  I am assuming that is that you can change amounts and not just delete.
Not that I do this often- make that never- this is the first time  I have ever had a posted GL transaction out of balance!

EDITGL is the same functionality as GL-P. difference is that EDITGL is looking at and editing BKGLTRAN while GL-P only uses BKGLTEMP.

Our Detailed Trial Balance is out of balance due to deleting an entry in BKGLTRAN.  Is the only way to fix this through running UT-K-D?  If so, am I going to potentially unearth a "can of worms"?
