Title: AP-C Locked Out
Post by bvesall on 01/09/07 at 07:44:01

Hello,

We are having a repeatable problem in AP-C.  We have blanket purchase orders for several of our vendors.  There are instances when we will be posting items in AP-C at the same time we are receiving against that blanket purchase order number.

Unfortunately, we do not find out that we are locked out until we go to post the invoice in AP-C.  When this happens, we have to exit and get back into the invoice.  Whatever items got locked out no longer appear as receivers to tie to the invoice.  We then have to receive and unreceive just to have the receiver show up again to process the invoice.  This creates more garbage on our system every time we have to do this.

It would make sense for whoever brings up the purchase order last would get locked out, but this does not appear to be the case.

Are others having the same problems, and is there a patch for this problem?

Thanks in advance,
Brian

I have had this happen a time oe two. I have asked the person who got the lock and they were saying NO to the prompt. This will exit the progarm half finished. I always have them keep saying Yes to it or go find who is locking you. That way they can finish the transaction.

We have a rule here-  AP-C in the morning, PO-C in the afternoon.  Or if necessary, we alert the AP-C person to get out of AP-C!  Of course, we only have one of each so it's easy.   ;D

Thanks for all the input everyone.  As far as I know, nobody is getting the prompt that the item is locked.  If two of us are in IN-A or one is in IN-A and one in PO-C there is a prompt, but I guess I'll have to gather more data.  First in should not be the one locked out if you ask me.

Thanks for the post.  I think this leads me to "an Idiot" problem that has been causing problems with my GL being off!  The "Idiot" is probably getting the prompt and since he leans on the enter key while receiving a PO,  the default is probably No so I only get half of the GL posting!!!!

Allen,  What's going on with locks?  I though you said you had them fixed?

Most my users complain when they have multiple windows open and lock themselves out!

Tim,

over 600 programs in the system, average of 10 locks per program = 6000 possible record locking issues.. I may have missed one or two...

I need more info to fix this one.  What is getting locked?, are there error messages or lock messages coming up? Is the user doing ctrl alt del to get out.. if there is no message?

Give me the complete picture of what is happening.

With us there is a record lock between PO-C and AP-C.  The PO's don't have to be the same-  when someone is entering a PO INvoice in AP-C and posting the same time as someone is entering a PO Receipt.
We have not done any testing to see exactly what each one is doing at the same time; in the one I am remembering, there was  a bad GL entry from AP-C - out of balance and numbers in wrong accounts.  The PO receipt posted okay.

PS It has happened in the past; I just can't remember the details though I could probably find them with some digging.

Cathy, or anybody,

what is the lock?  as in error locking BKICMSTR retry Yes No...

the important thing I need is the file name in that case BKICMSTR.. that tells me where to start looking.

I am calling this a record lock because the post to the GL from AP-C is bad, and It happens when someone is also entering and saving a PO Receipt.
There are no error messages, and the programs do not hang.
There is just bad data in the GL.
This has only happened a few times, so it is very rare and I have never been able to pinpoint anything except that the two programs are running at the same time.  Our  work-around is that we post PO Receipts and PO Invoices at different times of the day-- problem solved.
If I can find time I will try to recreate.... in test of course.

Allen,
I have reproduced a record lock between PO-C and AP-C.

It goes like this:
One user is receiving a line item on a po in PO-C and the other is entering an INVOICE on that line item in AP-C.

I left the PO-C user with the line item up, ready to post the receipt and then tried to finish out the AP-C entry.

The error message in AP-C says that a record in file BKAPPO is locked by another user.

Now, I try and post the Receipt, and the error message there says that a record in BKAPPOL is locked by another user.

One application locked the BKAPPO then the BKAPPOL and the other application seems to have locked them in the reverse order (BKAPPOL and then BKAPPO).

I remember this being called a 'deadly embrace'.   ;D

Yup, that or a deadlock... I will look in to it now.

This is the type of Info that we need to help us clean up the system.

Thanks Kevin

Cathy, if you find other issues let me  know.
