Title: Mid-September update?
Post by GasGiant on 09/06/07 at 10:16:01

Last week I received an email that announced a patch and also mentioned a new update coming this month. A "much improved" RMA process was promised. Has there been any beta version of that trotted out?

I am just wrapping up my testing and will offer a beta as soon as I am done.

I will send you (and anybody else who requests them) the files.  Your Serial Number issues should be resolved, as well as other smoother RMA to S/R transitions.

What should I expect? Is this a new module, a replacement of the RMA module, or...? How does it move from RMA to S/R? Will it be alright to test this on the live system?

It is a new RMA module that replaces the old add-on RMA that was an extra charge.  This will be part of the update at no charge to subscribers.  It will work as follows:

1.  Enter RMA - very much like Enter Sales Order.  Can then print the RMA to send an authorization to the customer to return the item(s) if desired.
2.  Receive RMA - this simply sets a status flag indicating that the items have been received in house but have not yet been inspected or dispositioned.  At this point, no inventory transactions are generated.
3.  Disposition RMA - There are several choices:
   a.  Parts are good to return to stock; issue a credit to the customer, perhaps with a restocking charge.   Program will generate a negative sales order to return the parts to stock and automatically add the line for restocking charge based in defaults.
   b.  Parts are defective and customer wants replacements.  Program automatically generates a sales order at $0 selling price for the replacements.
   c.  Parts are defective, customer just wants a refund.  Program will generate a negative sales order for the Non-Inventory part number to process for a credit.
   d.  Parts are defectve and can be repaired and returned to customer.  Program will convert the RMA order to a S/R order, then convert to S/R Work Order.

If the items are Lot and/or Serial controlled, then the information can be entered at any point in the process.  If the items are going to be repaired, then the Lot/Serial information must be entered by the time the S/R Work Order is created and if they are dispositioned as scrap, the Lot/Serial information is required at that time.  For option a, the RMA module itself does not generate any transactions.  The order is transferred to a Sales Order and then the credit would be printed and posted like any other using the sales order module returning the parts to stock.  For options b & c, the RMA program generates a "G" (Scrap) transaction with Lot/Serial information documenting that the parts were scrapped.  For option d, a negative "R" transaction with appropriate Lot/Serial information is generated when the S/R Work Order is created, documenting the return of the item to be repaired.

Sounds spiffy. We'll test it live. I may also write directly to the RMA tables from my web app, at least for testing.

RMA Beta is now available.  Instructions and link to download at www.istechsupport.com/rmabeta.pdf.  You HAVE to have the 7/14 IS Tech update installed first.

Hmmm... followed the instructions, saw the programs install, but no RM button. Using UT-A/TAS-A I can run all RM programs except ISRMA.RUN... something not right. Will rerun install even though I received no errors the first time through.

The SD-Q options are there, I've logged in and out several times, still no RM button (ADMIN) and ISRMA.RUN still starts up, flashes and flees away. Interesting.

The menu file fixes the missing button, thank you. Unfortunately, RM-A flashes and dies. I'll try fiddling with the SD-Q settings and see if I did something wrong there. Are there settings for any other modules that would affect this one? Do I need to get rid of the add-on RMA program?

And another silly question: what do I do with the open RMAs in the old program? I assume that we'll have to manually re-enter them if we want them in the new program, but would everything work fine if we just process those in the old RMA module and just use the new module for new RMAs? They look to be separate, except maybe for the next RMA# setting. Looks like they both use the same register?

Can you run SR-A?  as for the old RMAs, you can re-enter them or process them using the old add-on programs.

Yes, runs fine. We also noted this morning that SR-C now demands serial numbers, so that part is working, as well. I've fiddled with the SD-Q settings to no avail.

Are you running this in Evo or Classic?  I know you have both and I can't duplicate in either.

We shut off Classic, so we're 100% Evo (yay).

Can you tell me what the dependencies are for start up of the ISRMA.RUN? If I knew the logic I could check the conditions. Thanks.

Do you even get to the opening list?  Can you try in a different company?  It is opening the same files as Service & Repair but then the actual orders listed will exclude Service & Repair .

Interesting. It works in other companies. Also, I tried RM-B and looked up to see if there were any RMAs to print... there are two empty RMAs (both # 0) showing up in there. They will not print. Probably has something to do with the problem. I'll try TAS-D to empty the table. Perhaps re-initializing it would be best?

Title: Re: Mid-September update?

You probably don't want ti initialize it, it is the same table as Service and Repair and I know you use that.  But if there are entries with a 0 Number, manually deleting them might help.  At least if it opens in other companies, we know it is something with the data.

Now I'm confused. What tables are being used for the new RMA module? ISSRINV, ISSRINVL, etc.?

Title: Re: Mid-September update?
Post by Lynn_Pantic on 09/18/07 at 08:04:05

Yes, RMA is using the same tales as S/R.  Converting an RMA to a S/R order will simply change a status flag on the order.  The old add-on RMA used the Sales Quote file.

Aha. What is the code and in what field? Maybe I have something invalid in there. I don't see any zeros in the SONUM field. However, I do have a bunch of "Q" (quote) entries and such.

We figured it out and will send you a patch.  It is related to having more than 13 S/R orders in the file and no RMA orders (yet).  It gets to the end of file with no valid RMA entry so it quit rather than show an empty list.

Between that file and removing two stray "W" type transactions, it now seems to work as advertised, initially. I'll be back tomoorow with a further report :-)

Pretty cool. Works slick until I get to RM-D. No matter what I put in (Y or N), the program terminates and the status in ISSR.INV.INVCD stays "R". I don't see a field in the ISSRINVL file to record the status of each line.

UPDATE: The above test was done in our test company. Subsequent testing in live company worked fine. I like it! More testing to follow.

I did note with interest that it uses the S/R register for numbers. Excellent.
