Title: WIP Summary Post by cathyh on 05/30/08 at 08:41:05 I thought I understood this report but I must need a refresher. When I print the report JC-M and just print all "R" status work orders, the report is different from the report in which I use the "as of" date. There are two work orders missing from the "as of " report. They were finished on 5/23/08 but are not closed, so they are "R" status. If I choose "as of" date of 5/29/08, the finish dates that are put in automatically are 5/30/08. I can not change the "from" date. This may be why they are not showing up. It is also possible that they were closed and then re-opened to add something, because they do have a Actual finish date of 5/23/08, and I believe that date is the "close" date.(?) I haven't been able to confirm that yet. Still, they are "R" status, and I thought the "as of" date was for work orders with closed or canceled "status" that have a finish date after the "as of" date, and that any "R" status WO would be listed in this report. Is this wrong? Thanks! |

However last month I was completly off between GL and JC-M again and do not look forward to this month. Overall I find balancing at the end of the month between the two to be a big headache. I wish there was a complete start - to - finish instruction on this. Currently going thru Help you have to look in several different spots for information and they don't seem to match up very well with each other. :-[ |

I found out that the work orders in question were "R" status but had been previously finished and closed. So the "actual finish date" had been populated and making the work order status R didn't change this. Even though costs had been added and those costs were in WIP, the actual finish date did not fall in the finish date range of the report. The difference showed between the GL balance and the WIP balance. When I posted all transactions to the GL and ran the WIP report with no "as of" date and only "R" status, the balances essentially matched. This is the report I run during the month to spot check balances. And this is my current problem with the "as of" report. If you finish and close a work order during the month and then re-open it (change the status from "C" to "R") and add costs, the "actual finish date" stays the same and it will not show up on this "as of" report since you can not change the beginning actual finish date. My solution is to make sure that all work orders finished in a given month are also closed so that WIP costs are removed from the WIP GL balance and put in the WIP variance account. Then the "as of" balance should match the GL. Also. our biggest headaches with the process of balancing this report with the GL have had to do with "I" status or "R" status that should be "I". Can this program distinguish between "C" work orders that were "I" when the costs were being collected? I don't know and that is why we make sure that "I" types are either closed on or before the last day of the month, or stay open until I have printed the final WIP report for the month. Another issue has been a part number that should be built with an "I" status having an "R" status instead. It is on the WIP summary but not in the GL balance. I think I have mentioned this before. Generally speaking I have had good luck with using this report to match the GL every month end. As I said, when I do spot check through out the month I use the "R" status only report. But of course you can't do this to get the balance at month end when you are running it in the next month. I hope you have better results this month-- good luck! |

Reopening closed WO clearing the Actual Finish date is easy and I agree, it should. Determining whether a "C" WO was originally "I" is tougher but I agree, there needs to be a way to do it. Maybe a new letter (rather than "C") to indicate a Closed previously "I" WO, let me think about it. |

It looks like my WIP Variance is posting as both a DR and a CR (same $ value) in the WIP GL account. Which doesn't really relieve the WIP account of the Variance. I looked for a WIP Variance account and found one but it has no transactions in it what so ever. I'm not sure were to go from here. :-/ |
Title: Re: WIP Summary Post by cathyh on 07/11/08 at 09:55:49 You should check your MFG GL Defaults (button lower left) in AD-A. Your Accounting will have added these when you set up the General Ledger. It sounds like you have assigned the WIP asset account number to both WIP and WIP variance. |

Instead of changing it to the WIP Variance account I would like to put it into COGS. However I have multiple COGS accounts set up. I looked at my Item Class setup I can see a WIP Inventory Asset. Is that the same thing? |
Title: Re: WIP Summary Post by cathyh on 07/11/08 at 11:53:41 In the Class setup you do not get to choose a WIP variance account. THe WIP Inventory asset is the WIP GL account. The variance post is from the Default GL setup and is triggered on closing a WO either by adding costs after a WO is finished at actual cost, or finishing at STandard Cost with Actual costs differing from standard cost. In our case, our COGS is 50000 and our WIP Variance is 50010. We finish at actual cost and do not capture a lot of variance. I consider it a COGS and actually do a journal entry every month that moves the total WIP variance into COGS. Hope this helps. Sometimes I get a little wordy.... |

I will just have to run detail at the end of every month and JE into to correct COGS account. One more thing I discovered. My scrap is also posting in WIP. Do you know where I can change that so it posts correctly? |
