Title: Error: "The record in file: BKSMSTR is locked by..
Post by Dennis Wilkinson on 02/03/09 at 12:11:53

Periodically, our accounting department gets this error message - Error: "The record in file: BKSMSTR is locked by another user.  Do you wish to try again? (If you enter N the program will terminate.) Y".  When checking file usage, almost all users have this file open when signed on.  It is only our accounting people who report this and only when posting receiveables (when I say periodically, I mean once or twice a month).  We typically get everyone off and things work fine.

Now the question....any idea why this happens only once in a while and not more often.  We typically have 25-30 signed on at all times.

Thanks,

Dennis :-?

Two users would need to be accessing the same record, not just the same file, for such a warning to be seen. Someone may have the PO open or some such, or be querying a part on the related PO at the same time a transaction tries to post. Inconvenient.

Thanks Colin, it justs seems so remote that this condition could happen more than once in a blue moon....maybe we are so busy, we have increased the opportunity for this to happen.

In my experience, users who perform an action like a look up in IN-A do not either 1) close the program (IN-A screen) or 2) go immediately on to another task in the same program. So some reason, DBA seems to keep a handle on the last record viewed/modified until you close the program or move on to another record. This is true with SO-A, SO-C, IN-B and others, I'm sure. The effect is to cause more record locks than you would expect.

What update are you on?  Up until the 8/4/08 update, the BKSYMSTR file held all the "Next" numbers so that any time anybody was entering any sort of order or check that needed to pull a number, they would have to open the file and lock it long enough to pull the number, advance the counter and save back.  Starting with the 8/4/08 update, there is a separate file for the numbers with a separate record for the different sorts of numbers which should eliminate the record locking on BKSYMSTR and reduce the potential for it on the new file.  If you are on the 8/4 or 12/21 update and still getting hte record locks, we would like to know exactly what they are trying to do when they get the message.

Lynn,

At the time I reported this, we were on the 08/04/2008 release.  We are now on 12/21/2008, patch 5.  We have not experienced this problem since I posted on Feb 3.  If happens again, I will try and document what exactly happened.

Dennis
