Title: Re: Evo Notes System Post by David Waldmann on 07/29/14 at 04:46:38 It only needs to be a special type of note if you want a note that will only print on PLs and you have other notes you want to print other places. The notes system is quite powerful but it can be a bit complicated to figure out how to use it. We spent many hours figuring it out, testing it, coming up with a plan, adjusting it, etc. We now have a matrix that shows every note type and where it's to be used. Every users' Notes Selections are set the same to ensure that documents look the same no matter who prints them or from where. You seem a very thorough, tech savvy person, so I have no doubt you could come up with a great strategy for using them to fit your situation. I would suggest figuring it out and setting a policy for the company so that user A doesn't create notes that show up on their documents but not when User B, C, etc do. |

Make a list of all the documents you print, broken down into Header and Line. Decide what kind of additional (NOTE) information you want on each one. Also note whether that information is Internal, External or Universal as to the reading audience. Note where that information would be entered, i.e. whether it's related to the Item, Customer, Vendor, Order, etc. Here is the list of Note Types we're using and the primary reason for them. Note that we do not use the system generated CSN ones at all. Part of the reason for this is that we are completely on EVO there is no need to have the CS notes, but also note that when you create a WO from SO the system makes the 2nd Line Desc into a CSN note on the WO. The biggest challenge we had, other than just the sheer variety of options available, is that there is no option when printing Travelers to select the type of Note you want from SO Lines, only the SO in general. So if you have a note on the Header it will show up on the Traveler. We solved this problem by add the MFG note type. So when printing Travelers, we only select the MFG type* under SO, and the STD note types entered at the header level will not show up. In reality, this was not really a big problem, it's just a basic application of the design of the Note - we just had to get a better understanding of how powerful they are. *We actually also allow the HID type to be entered as a Line Note in SOs, which shows up on Pick Lists and WOs. I'd say the biggest pitfall of the Notes system is that they are stored rather clumsily. So getting at them (other than in the EVO reports) can be a challenge. A few other observations. "Ignore hidden notes" doesn't apply to Evo Notes. The ability to select certain Note Types while printing is very handy. But set up your Notes so that every time you print document type X you need the same Notes. And unless you have a very good reason to do otherwise, "make" everyone use exactly the same selections. The easiest way to do this is to set up one machine the way you want, then copy the applicable section from the EvoSettings.ini file on that machine and paste it into the local file on the other machines. Then turn on "Quick Print" in the User Settings - this bypasses the Note Selection screen (however, it also bypasses the Form Selection dialog, so if you need to change that occasionally you'll have to figure something else, or just train everybody to leave the Notes Selection alone). Last, but not least, spend a lot of time getting it right. Try every scenario you can think of, and once you have it down don't implement it. Give it a while longer and try again - in the mean time there may well be other things come up that you now realize impact your choices. Go over your proposed implementation with the most savvy people in your company and get feedback from them. And if you come across a limitation, post it here - others may have figured out how to address it. Looking back over everything I should probably also mention that we have enabled the Pick List for SOs, and when I say PL it means a SO Pick List, not a WO Pick List (we don't use those). PLs are internal (private), Packing Slips are external (public). |
