We want to end the time card shuffle with an electronic time clock that feeds info to the payroll clerk via the network.

Does anyone know of a system that will export the edited time records to the DBA pay file?

Use the Data Collection that is already built into DBA/Evo.  You don't need another system; you already have one.  If you don't want to collect Job Cost detail, turn on the Shift Start/Stop and simply collect shift times for payroll.  They automatically load into payroll using PR-K.

We use Virtual TimeClock by RedCort software. I do not think we've ever tried exporting time records to DBA though.
VTC has been awesome for us!

Can anyone offer any Do's and Don'ts in implementing DBA Data Collection?  I have read thru the help files, but I have questions.  For instance...

We have a guy whose 10 hr shift starts a half hour early, and a guy whose shift starts an hour later.  I'm assuming I should define them in shifts 2 and 3?

If I set the day end buffer so we don't pay for late clocking, how do I handle it when we ask someone to work late?

I have a few questions too, but I think I have the answer to this. At least, if I understand how it works, and you handle late clock-ins like we do. We assume that if people clock out less than 5 minutes late they are leaving on time. If they clock out more than 5 minutes late they were actually working and we pay them. So, our clock out buffer is 5 minutes past normal clock out. You could also enter a buffer of 30 minutes - anyone who clocks out up to 30 minutes late gets clocked out at the shift end, but if it's more than 30 minutes they get clocked out at the actual clock out time. If you ask someone to work late only rarely you can set a large clock out buffer and then manually edit the record(s).

My questions:
If you give someone a Shift # of 0, does this not apply - i.e. they get marked as in when they clock in and out when they clock out?

I see you can enter a Shift Name, but you still assign shifts by number?

With a little testing I've answered all my questions so far.

First off, I confirmed that the way the Buffer works is as I thought - if someone clocks in/out outside the buffer they are clocked at the actual time, if they clock within the buffer they are clocked at the shift start or stop time.

If someone is assigned a Shift of 0 (or 9) they are clocked in/out as actual time.

And yes, even though you can give shifts names they are still implemented by number. Further, while you CAN enter a value of 0 or 9 for a shift, you can only define shifts for #1, 2 & 3.

But I do have a new question. Is there any place that records the ACTUAL time someone clocks in/out if it's within the buffer? Or does the program insert itself between the user and the database and enter its interpretation of the time based on the shift?

The program interprets and the data is saved using the shift time.

We ran a test last week where 4 employees used DC-C to enter time.  We transferred that to payroll and entered everyone else as usual.  While trying to print the payroll register (PR-C) we get the message: An error message was not found in ERRMSG.B error 405.  Same result on 2 separate workstations.  We are DBA classic on peer to peer network v2004.1 update 10/24/12 SP1

What went wrong, and how can I fix it?

You could.  You would have to manually enter the labor from DC-C since it has already been transferred.

This week the PR-K was performed without errors and the payroll register printed fine.

I have a question about editing clock-in time in DC-G.  I'm told that if we try to edit the clock-in time before the person has clocked out, the program will throw in a 24:00 midnight clock-out time that cannot be changed.  

Is that true, or are we doing something wrong?

If you enter through the clock out time it will put in a number. It will depend how you have your shifts set up what that number is. So the key is to just enter the start time and save the record. If you enter past and it gets filled in, just go back to it, delete it, and then save.
