Income statement
09/27/05 at 11:13:26

We are still using DBA Classic version 2004.1.  Can you go back and print income statements prior to 2 years back?  I need to compare the last 3 years not including our current year but this is not an option?  Anyone else had this problem?
Thanks,
Sarah

Nope. Not even with the newest ISTS update.

Never say never...  You can do it (even in Classic DBA without IS Tech updates) but it is a convoluted process requiring creating a new company that is a copy of the current company, setting the fiscal year back and recalculating the Year End Closing entries to P&L accounts and the chart of accounts.

Can you provide a little more detail?

After you reset the fiscal year date back in AD-A (and ignore the message telling you not to do so) run UT-K-D, then UT-A GLEREDO.

Well, I messed it up somehow.

I had already set the fiscal year back and UT-K-D'd the entire COA. Everything at that point looked OK when I printed a P&L and Balance Sheet.

When I did GLEREDO the screen was not "readable" - the meaning of the date fields were not obvious, so I accepted the default dates it put in - maybe that's my problem?

My real company obviously has 2005 as current, 2004 as 1-Year-Past and 2003 as 2-Years-Past. When I copied to a new company and reset the fiscal year everything looked fine. It showed 2002 as 2-Years-Past and 2003 as 1-Year-Past. I'm not sure whether Current Year was right or how it was handled because I really didn't care - all I wanted was 2002.

When I ran GLEREDO I believe the entries were as follows (I didn't write them down):

Your current fiscal year ending date is 12/31/04
Last Year 12/31/03
(no desc) 12/31/02 - I assumed this was Two years ago
(no desc) 12/31/01 - didn't know what that was, but figured it was right.

When GLEREDO completed it said to post the entries in GL-O. However, when I tried to select them, it said for each one that they had an invalid dates of 12/31/02, and to go to GL-P and edit the date to a valid one. Also, AD-A shows current Fiscal Year start date is 1/1/05.

???

It's only a copy, so I can re-do it as many times as necessary, thankfully!

You do need to post the entries back to the prior dates.  AD-A should still show the old date, you can change it again if necessary.  You also (one step I forgot) need to change the GL Close Data in AM-A so you can post the old entries.

However, if the retained earnings looks correct after UT-K-D then you don't need to do the GLEREDO at all.

This won't help you now but for future reference- and I got this idea from someone on this forum a while back and I don't remember who- at the end of each fiscal year, after making your last entry for the past year, make a copy of your company for future availability of older records.  I didn't do this the year before, so like you I don't have records available for 2002 ( unless I go through what you are!), but I did it last year (complete years 2004 &2003) and I plan to do this as part of every year end  procedure.  I save a it to a file on the server so that I don't have to keep it in DBA where it might get (accidentally, I hope!) messed with.

Yeah, on my first post about the problem (different thread) I mentioned that that is now in my plans as well. Don't know what I'd do without this forum between Lynn and other users ideas!
