Payroll year end routine
01/21/06 at 07:58:18

Here is the situation, when I was going to run the first payroll for this year, DBA asked me to run the year end and I thought I hit yes. Apparetly I did not, and when I ran the first payroll the totals were added to the 2005 totals.

I then ran the year end routine to clear out everything. Then I voided those checks and ran them again. I then ran the year end routine again for some reason and now when I am trying to print the W-2's it's just showing the negative amounts of the checks I voided.

I would also like to add that we are a small company and I have no formal accounting training so my inexperience and trying to perform the accounting functions is probably what lead to this.

Is there anything I can do to get the W-2's back to show the 2005 totals?

Do you  have a backup of the data files as of 12/31/05?  You can restore the BKPRMSTR.B file but rename it to BKPRW2.B to get the totals.

I need a little bit of clarification on this. The only place I could find in DBA to get to BKPRMSTR.B is via the Maintain Database screen. However, I did not see where I could rename the file. I'm sure there is another place within the program that I am not looking.

The files I found in the Maintain Database screen were named BKPRMSTR_B and BKPRW2_B. I also had a _02, _04, _06 for each. When I looked into those files some had no information, however I think the _B had all information for employees as far as the system goes back.

Another issue is, if I specifically needed to do a proceedure for backup for year end other than running the year end proceedures I did not.

So my questions are:
1) DBA said that when I run the payroll year end it creates a file BKPRW2.B. Since I ran the year end twice did it overwrite the 2005 data?
2) Do I still have the 2005 W-2 info somewhere in the system even though I did not do a specific backup proceedure.
3) If it is in the BKPRMSTR.B or somewhere else, how can I access the data and rename it.

Thank you for responding to my original post, I have read through some of this forum and I think it's a great community and a great resource tool.

Regards,

I am not sure what your backup procedure is but you should be backing up all data files regularly and storing occasional copies offsite, not overwriting the same backup every day.  What you need to find is a backup copy of BKPRMSTR for your company for the end of the year.  If you can't find one, then you will have to run PR-I for the complete year for each employee to get the totals and then in PR-L-I, click Edit W-2 Data to enter the amounts.

To specifically answer your questions:

1.  Yes, running it a second time overwrote the data
2.  See above for the way to get it if you don't have a backup of the file.
3.  If you do have the backup of BKPRMSTR.B, then you use Explorer to copy and rename it, not a utility in DBA.

Thank you Lynn for your help with this. It looks as if I have some work ahead of me to get the W-2's out the door.
