Drastic Inventory Drop
12/12/06 at 15:06:49

We experienced a drastic inventory drop in value in one day of over $38,000. While it would be wonderful to have shipped that much, that is not the case.

I am going through inventory transactions trying to find the culprit.

1. Is there any other place I should be looking besides Adjustments, Finished work orders and values?

2. Is there a quicker report to run to look through for what must be an error.

3. Is there anything else that might cause such a change?

You may ask your accountant to run GL-E for the time period in question for the respective GL accounts for inventory and search for large value or unusual transactions.

Have you compared your inventory value report(s) to last known good one(s) for big changes?

We don't use the accounting side of DBA so can't really look at that part of.

We did issue a large number of WO's that day, but all items are WIP. Am I correct that this should not effect value as those items are still part of inventory.

So far, that is all I found.

Thanks.

What report(s) are you looking at? WIP is not included in IN-F.  Try JC-E, JC-M or JC-P

I was looking at IN-F. So IN-F does not really give you a true reading of your inventory value then?

It sounds like you have to run IN-F and then add the WIP value?

Yes, IN-F excludes Work In Process (Labor, Material Issued and Loads)

Is there any report that gives you a complete inventory value, including WIP?

Since WIP materials are still technically in house, why are they not included in the Inventory Value?

JC-M will provide a summary of Work In Process activity (material, labor, load, extra costs, outside processes, and show the value of goods transferred to finished production, but the remaining WIP value is not a pure material inventory value.  It includes labor, loads, extra costs and outside processes.

JC-P will provide a summary of material issued to WIP by component by work order.  However, if a subassembly has been issued to a higher level work order, the material value of this subassembly will also include labor, load, etc. and is not a pure material number.

I use JC-P for evaluating material remaining in Work In Process, since it is the best report available and has proven to be reliable.  I just review it for negative value inventory and $0 value inventory, and make adjustments as required.

Hope this helps. Roll Eyes

Inventory issued to a work order may still be in house but it is no longer available so you would not want to include in your raw materials inventory value.  You have different kinds of inventory value-  raw materials, WIP, and Finished Goods.  Raws and Finished Goods (which includes Assemblies) can be captured in IN-F, but WIP is captured in the JC module.  One way, depending on how many assemblies you have issued to work orders, is to print to file  JC-P,  import into Excel, and exclude assemblies from the list before summing.  If you don't have too many assemblies you can manually subtract them, or if they are well separated by part number, you can exclude them from the report by entering a range of components that are just raws.

Okay now I'm confused!  I too thought that IN-F would include the total inventory value.  I also thought I should subtract the WIP total found in JC-M if I wanted the value of inventory other than WIP.

What report(s) do I use if I want to get a snap shot of the inventory values on a given date (including WIP)?

I want the WIP value to include all of the materials, labor, overhead, etc that has been accrued to the outstanding WOs.   I also want a report of all the materials and finished goods in inventory that are not currently on WO's (WIP).

On a given date just use GL-A for your three accounts - Raw, WIP and Finished. As of a given date I don't know how to find out what was in WIP. The current IN-F recalculates backward to a date in the past.

In-F has an as of date, as does JC-M and JC-R for materials in WIP.
IN-F does not have materials issued to work in process(WIP) only materials (and labor) included in finished product (no longer in WIP).
According to other posts on JC-R, that program has been fixed so that materials number is only materials and not labor  parts (I think- I don't use that program much).
On the JC-M or JC-R, enter an as of date and leave everything else to DBA.  The program fills in the appropriate dates.
So you can run IN-F for all inventory (raws, assemblies, finished goods) as of a given date, and run JC-R for materials and/or labor in WIP (after you get the patch for JC-R).

Cathy - Thanks for the information.  I have the JC-R patch and it is working well.  Finally the inventory figures make sense!
