Archiving Notes
09/23/13 at 11:56:45

In the Notes screen there is a View Archive button.  When you click on it, it shows an empty Notes screen - presumably the archived notes, of which we don't have any.  This seems like a handy feature, but we can't figure out how to archive notes... how do we go about that?

In the old system, you could enter History notes of various (practically unlimited) Types. When printing Aging reports you could include History notes (such as, "Joe told me he was sending 2 pigs and three pitchforks as payment for invoice #12345"), and limit them to a certain date range.

With the new system you can enter notes all day long, but whenever you ask for them, you get ALL of them. So, eventually you will get the last 20 years worth of notes (note brief spell of optimism that Evo will be alive and well for the next 20 years) for every customer every time you print the aging. UNLESS you can archive notes of a certain Type and/or Date Range.

There are probably other reasons you might want to Archive notes, but I can't think of any ATM. The reason ERP systems have so many features and options is that industry is incredibly varied and everyone has different needs, many of them incomprehensible to others.

I'm suspecting (since I can't find one) that an archive utility will be forthcoming and that the button was added for testing and not removed before the last release...

UT-A program EVONOTESARCH will archive them with a number of filters to select what you want to archive.  This will be an option on the ADMIN SM-N Notes menu in the next update.

FYI this works really good!

Just archived all FIN (related to Finance) over two years old. Now my Aging Report is considerably shorter and more relevant, and the "View Archive" button in AR-A works great - very fast and easy!
