Major GL and BalSheet Issues
10/04/06 at 13:47:49

Our AR Aging Report total does not equal the BalSheet AR amount (again).  While trying to determine why we discovered 2 new shocking issues:

1)  The BalSheet total for AR does not equal the Net transaction total for the AR on the  GL-C report!!

And

2)  3 deposits made on the same day are not recorded in GL-C though they appear in the check register (are verifed by bank statement) and appear in AR-R payment history.   Fortunately(?) the total of the deposits equals the difference between GL-C net and BalSheet.

But, What the heck!  -   Where does the BalSheet total come from?  How can transactions seem to have disappeared from the GL?

Does anyone know how this might happen?

Meanwhile, we still need to deal with the original issue of why the AR Aging is different from BalSheet. The differences noted above are not the same amount.  I suspect the cause is related to payment reversals that didn't post correctly.

Any help greatly is appreciated!

Financial Statements (GL-F & N) come from the Chart of Accounts file (BKGLCOA) which you an also view by account in GL-A.  Transaction reports (GL-C, D & E) look at the transaction detail file (BKGLTRAN).  If for any reason they get out of synch, UT-K-D will synchronize BKGLCOA to the transaction file.  Check register is a different file yet (BKGLCHK).

I know this doesn't answer all your questions but it is a start.  Why AR Aging and Balance Sheet are different opens a lot of possibilities.  Try to find a date at which they do equal and move forward from that point to isolate the discrepancy.

Thanks.  I'll look at the files/reports you mentioned as see what we find.

Ran UT-K-D.  Now BalSheet = GL totals but BalSheet does not reconcile to several control reports it matched to previously.  Angry

The problem seems connected to the 3 deposits missing from  GL-C.  We have also discovered that NO transactions are recorded as entered and posted on that particular day - which never happens. We always have labor, material issues, invoicing entered and posted the same day and the activity is confirmed by the corresponding nonGL reports.

A few transactions are posted for that date but were entered on the next business day or later.

We checked all logs - Pervasive etc.  and found no issues.   There were/are no other indictions of system malfunction.

Any more thoughts on what to do next?  ???
