SA - b - Sales Analysis,Print Profit by Invoice
06/20/12 at 10:57:49

In looking at SA-B, I noticed that a particular invoice is showing a zero cost and a zero profit %.  I printed a job cost report and the cost is correctly displaying on this report.  Why aren't they coinciding?  There are also several other items in SA-B with the same problem...?  Everything appears to be correct in inventory.  This is throwing our sales analysis report off.  Your assistance is appreciated.  Thank you.

SA (and the GL for COGS and inventory)  is looking at whatever the cost was at the time the order was invoiced which has absolutely nothing to do with the Job Cost Report.  If you invoiced the order before the WO-I was processed and it is a new item, the invoice will pull from inventory at $0.

So If you enter finished production before you post the invoice then SA-b will match JC-A?

Thanks

Thanks Kelloggs,  Do you think it would work if you released SO first?     I think we will normally be printing the delivery ticket before we enter finished production.   We  dont inventory because there is usually the customer's 18 wheeler waiting on us to get the job off of the machine.

We  had kinda come up with the check-off below before we post an invoice.
   1. All Labor posted
   2. All PO's rec'd in
   3.  All misc/extra costs entered
   4. correct $ on the SO and WO  (we often changed price during the job and if its not correct on Work Order SA-B will not correct.
   5.  Run JC-A and recor profit/%
   6. WO-I enter finish production  (make sure we always rebuild before we post)
   7. Post invoice.
   8 Run SA-B

As long as it is a service or a non-inventory,  I don't see why not, release the SO first.
But you should not print or post the invoice before finish production is done.

Actually it doesn't matter whether it is hard inventory.  You can release the order, and print the packing slip and invoice.  Just do NOT post the invoice (SO-G) until the work order processing is complete.  Make it before you ship it.

Our SA-B has been wrong (not matchng JC-A) because we enterered finished production after we posted the invoice.

It is going to be hard to enter fin production before we post the invoice because we often do not have all the labor posted or we may not have received invoices from our vendors.  We dont like to receive raw material POs without the vendors invoice because they are notorious for not matching due to the vendors pricing methods.

If you are using the actual work order cost to adjust your selling price. Yes, you have a problem.
You need to find a way to "Estimate" your Work Order Actual Cost.

Labor transaction should be post as soon as they are completed.

We have the same problem with our vendors, and when the invoice arrive that difference gets posted as a variance, and I believe it is not part of the Unit/Total Cost.

You can always undo finish production, that will be a little bit late, you already invoiced the job.
But at least it will help you have a more accurate Actual Cost for the next time you want to Estimate that job.

have fun,
